Introduction

The Portable Document Format (PDF) is a file format for representing documents in a manner independent of the application software, hardware, and operating system used to Category Archives: pdf editor them, as well as of the output device on which they are to be displayed or printed. The specification describes the required and prohibited components and the conditions governing their inclusion in or exclusion from a PDF file in order for the file to be available to the widest possible audience, including those with disabilities. The mechanisms for including the components in the PDF stream are left to the discretion of the individual developer, PDF generator, or PDF viewing agent. PDF/UA also specifies the rules governing the behavior for a conforming reader.

PDF Accessibility Support

PDF includes several features in support of accessibility of documents to users with disabilities. The core of this support lies in the ability to determine the logical order of content in a PDF document, independently of the content's appearance or layout, through logical structure and Tagged PDF. Applications can extract the content of a document for presentation to users with disabilities by traversing the structure hierarchy and presenting the contents of each node. For this reason, producers of PDF files must ensure that all information in a document is reachable by means of the structure hierarchy.

Logical Structure

PDF's logical structure features (introduced in PDF 1.3) provide a mechanism for incorporating structural information about a document's content into a PDF file. Such information might include, for example, the organization of the document into chapters, headings, Category Archives: pdf editor, paragraphs and sections or the identification of special elements such as figures, Category Archives: pdf editor, tables, and footnotes. Any higher-level information maintained by the original application has been lost and is not available to the printer driver or translator.

  • MSAA interfaces are supported in Acrobat/Reader 5.0 and later.

  • In Acrobat/Reader 6.0 and later, information about the underlying PDF structure is made available through direct COM objects that represent the PDF DOM. The DOM accessibility interfaces provide somewhat more extensive access, Category Archives: pdf editor.

The objective of this technique is to provide text alternatives for images via an /Alt entry in the property list for a Tag. This is normally accomplished using a tool for authoring PDF.

PDF documents may be enhanced by providing alternative descriptions for images, Category Archives: pdf editor, formulas, and other items that do not translate naturally into text. In fact, such text alternatives are required for accessibility: alternate descriptions are human-readable text that can be vocalized by text-to-speech technology for the benefit of users with vision disabilities.

When an image contains words that are important to understanding the content, the text alternative should include those words. This will allow the alternative to accurately represent the image. Note that it does not necessarily describe the visual characteristics of the image itself but must convey the same meaning as the image.

The intent of this technique is to ensure that users can navigate through content in a logical order that is consistent with the meaning of the content. Correct tab and reading order is typically accomplished using a tool for authoring PDF.

For sighted users, the logical order of PDF content is also the visual order on the screen. For keyboard and assistive technology users, the tab order through content, including interactive elements (form fields and links), determines the order in which these users can navigate the content. The tab order must reflect the logical order of the document.

Logical structure is created when a document is saved as tagged PDF. The reading order of a PDF document is determined primarily by the tag order of document elements, including interactive elements, but the order of content within individual tags is determined by the PDF document’s content tree structure.

If the reading order is not correct, keyboard and assistive technology users may not be able to understand the content. For example, some documents use multiple columns, and the reading order is clear visually to sighted users as flowing from the top to the bottom of the first column, then to the top of the next column. But if the document is not properly tagged, a screen reader may read the document from top to bottom, across both columns, interpreting them as one column.

The simplest way to ensure correct reading order is to structure the document correctly in the authoring tool used to create the document, before conversion to tagged PDF. Note, however, that pages with complex layouts with graphics, tables, footnotes, side-bars, form Category Archives: pdf editor, and other elements may not convert to tagged PDF in the correct reading order. These inconsistencies must then be corrected with repair tools such as Acrobat Pro.

When a PDF document containing form fields has a correct reading order, all form fields are contained in the tab order in the appropriate order, and in the correct order relative to other content in the PDF. Common tab-order errors include:

  • Form fields missing from the tagged content.

  • Form fields in the wrong location in the PDF content; e.g., at the end of non-interactive content.

  1. Open the Pages panel by either:

  2. Select one or more page thumbnails.

Page properties in Adobe Acrobat Professional. The choices are Use Row Order, Use Column Order, Use Document Structure, <b>Category Archives: pdf editor</b>, Unspecified. Use Document Structure is selected. This is also the default.

The purpose of this technique is to show how purely decorative images in PDF documents can be marked so that they can be ignored by Assistive Technology by using the /Artifact tag. This is typically accomplished by using a tool for authoring PDF.

In PDF, artifacts are Category Archives: pdf editor graphics objects or other markings that are not part of the authored content. Examples of artifacts include page header or footer information, lines or other graphics separating sections of the page, or decorative images.

PDF5: Indicating required form controls in PDF forms

The objective of this technique is to notify the user when a field that must be completed has not been completed in a PDF form. Required fields are implemented using the /Ff entry in the form field's dictionary (see Table 220 in Section 12.7 (Interactive Forms) of PDF 1.7 (ISO 32000-1). This is normally accomplished using a tool for authoring PDF.

If errors are found, an alert dialog describes the nature of the error in text. This may be accomplished through scripting created by the author (see, Category Archives: pdf editor, for example, SCR18: Providing client-side validation and alert). User agents, Category Archives: pdf editor, such as Adobe Acrobat Pro and LiveCycle, can provide automatic alerts (as described in the examples below).

Note: once the user dismisses the alert dialog, Category Archives: pdf editor, Category Archives: pdf editor may be helpful if the script positions the keyboard focus on the field where the error occurred, Category Archives: pdf editor, although some users may expect the focus to remain on the last control focused prior to the alert appearing. Ensuring that users are aware an error has occurred, can determine what is wrong, and can correct it are keys to software usability and accessibility. Meeting this objective helps ensure that all users can complete transactions with ease and confidence.

Labels for required form controls

It is also important that users are aware that an error may occur. You can incorporate this information in labels; for example, "Date (required)" or the use of a red asterisk to indicate required fields. (Make sure that a legend appears on each form with required fields, e.g., "* = required field".) Description

The purpose of this technique is to show how tables in PDF documents can be marked up so that they are recognized by assistive technology. This is typically accomplished by using a tool for authoring PDF.

Tabular information must be presented in a way that preserves relationships within the information even when users cannot see the table or the presentation format is changed. Information is considered tabular when logical relationships among text, numbers, images, or other data exist in two dimensions (vertical and horizontal). These relationships are represented in columns and rows, Category Archives: pdf editor, and the columns and rows must be recognizable in order for the logical relationships to be perceived.

Tagged tables can be created using the Add Tags to Document feature in Adobe Acrobat, using the Object Library in Adobe LiveCycle, or converting tables to PDF from a third-party application, such as Microsoft Word. However, the resulting tables may not be tagged correctly and you should ensure that table tagging issues are resolved.

Within PDF documents, a table uses the following structure types for table elements:

  • A table element (Table).

  • One or more table row elements(TR) which define each row of table cells as immediate children of the Table element.

  • One or more table header elements (TH) or table data elements (TD) as the immediate children of each Category Archives: pdf editor row element.

  • Cells that span Category Archives: pdf editor or more rows or columns should use the RowSpan or ColSpan attribute.

  • For tables that contain blank cells, you may need to add empty TD cells so that each row or column has the same number of cells.

PDF7: Performing OCR on a scanned PDF document to provide actual text

Description

The intent of this technique is to ensure that visually rendered text is presented in such a manner that it can be perceived without its visual presentation interfering with its readability.

A document that consists of scanned images of text is inherently inaccessible because the content of the document is images, not searchable text. Assistive technologies cannot read or extract the words; users cannot select, edit, resize, or reflow text nor can they change text and background colors; and authors cannot manipulate the PDF for accessibility, Category Archives: pdf editor.

For these reasons, authors should use actual text rather than images of text, using an authoring tool such as Microsoft Word or Oracle Open Office to author and convert content to PDF.

If authors do not have access to the source file and authoring tool, scanned images of text can be converted to PDF using optical Category Archives: pdf editor PC Cleaner 3.2 crack serial keygen recognition (OCR), Category Archives: pdf editor.   3. In the next dialog, select the All Pages radio button under Pages (or Current Page if you are converting only one page), and then select OK.

  4. Under the Settings list, select Edit. In the next dialog, select Formatted Text and Graphics in the PDF Output Style drop-down list. This is important for ensuring accessibility.

The objective of this technique is to provide an expansion or definition of an abbreviation for the first occurrence of the abbreviation, Category Archives: pdf editor. For example, a reference to an abbreviation, such as "WCAG," should be available as "Web Content Accessibility Guidelines (WCAG)" on its first occurrence in a document.

This is done by setting expansion text using an /E entry for a structure element, and is normally accomplished using a tool for authoring PDF. A Span structure element is typically used to tag the abbreviation, but the /E entry is valid with any structure element.

This technique is applicable for any abbreviation, including acronyms and initialisms. Note that on the first occurrence of the abbreviation, both the abbreviation and the expansion text must be provided, Category Archives: pdf editor. This will aid recognition of later use of the abbreviation, Category Archives: pdf editor.

PDF documents may be enhanced by providing expansions for abbreviations. In fact, such expansions are required for accessibility to ensure understanding by people who have difficulty decoding words; rely on screen magnification (which may obscure context); have limited memory; or who have difficulty using context to aid understanding.

In this example, the text "WCAG2" (within the LBody tag) has been enclosed in a Span tag.

  3. In the Category Archives: pdf editor panel, access the context menu for the spanned text and select Properties. to open the TouchUp Properties dialog for the Span tag.

  4. On the Content tab of the TouchUp Properties dialog, enter the expansion text, followed by the originally selected text.

Because headings indicate the start of important sections of content, it is possible for assistive technology users to access the list of headings and to jump directly to the appropriate heading and begin reading the content. Readdle's macOS-only PDF Expert is a popular PDF-editing tool that allows you to make changes to text in existing PDF documents, including by removing and replacing images, updating text, and adding text of your own. PDF Expert lacks OCR capabilities, so if you want to edit text in scanned documents, you'll need to look beyond this program.

Of all the apps I tested, PDF Expert has the cleanest interface and therefore was the most pleasant to use. Two tabs appear at the top of the screen: Annotate and Edit. Clicking one of them gives you an appropriate selection of tools to perform either annotation or editing tasks.

PDFelement had no problem opening anything I threw at it, including scanned documents, large files and image-heavy PDFs. Editing images, adding signatures and using annotations in the application all worked as planned, but I did experience some odd behaviors when I was editing or adding text using PDFelement Pro. Sejda is a web-based PDF-editing application that works on any OS that has a modern web browser. A desktop version converts Category Archives: pdf editor web interface into something that runs on your computer. 

You can use a free version of Sejda, but it limits the number of daily tasks you can perform and the size of the documents you can access. 

To get the most out of the program, you can buy an annual license for both the web and desktop versions for $63. How we test PDF editors

We look at both PDF editors and PDF-annotation applications. Every PDF editor can also annotate documents, but dedicated PDF-annotation tools aren't designed to make changes to any of the original context in a PDF document.

Apple's Preview application is built into every version of macOS, including macOS BIg Sur. I found FormSwift's offerings to be excellent and well worth a look if you need basic business documents such as 1099s, lease agreements and business meeting minutes.

Smallpdf's free online PDF editing offering is super-basic, only making it possible to add minor changes to documents. 

But you may find Smallpdf's other free features more compelling. These include tools for converting PDF files to Word, Excel, PowerPoint and JPEG. You can also convert each of those file types to PDF. 

Basic as it may be, Smallpdf can add pages to or compress existing PDF documents. Additionally, there are tools for adding signatures to documents that are similar to those available with Apple's Preview application on a Mac. 

All of this is available with no file-size limitations, Category Archives: pdf editor, but Smallpdf lets you process only two documents per day. PDFescape offers ample annotation tools. You can use the app to fill out forms, create form fields, insert text and web links, highlight text, add sticky notes, redact or strike out text, crop and rotate images, add or remove pages and even lock and encrypt PDF documents.

You'll have to contend with severely limited font options, however. PDFescape offers five fonts, one of which is a generic "signature" font that looks nothing like your own signature. But otherwise, you'll find a lot more tools in PDFescape than you will in the typical, bare-bones free PDF editor.

Apple's Preview application is built into every version of macOS, including macOS BIg Sur. Not only is it capable of working with PDF files, but it also offers a number of other image-editing features. It is the multitool of the image-editing universe, capable of opening virtually any image file you may encounter.

The bulk of Preview's markup capabilities aren't obvious when you first open the app, although you'll find a few basic tools for rotating pages and highlighting text on the basic toolbar. 

Preview's full set of markup tools appears when you click a small markup button that looks like a pencil tip located next to the search tool in the Preview toolbar.

Those markup tools include text-selection options; drawing tools you can use to add freehand drawings to a document; a text tool for adding additional text to a document; a tool that adds shapes and notes; and a signature tool that you can use to capture your signature using your Mac's camera, a tablet or your trackpad.

Preview is a solid option for basic PDF editing, and if you own a Mac, accessing Preview's powers is as simple as launching the app.

FormSwift offers a slightly different twist on PDF editing. While it gives you the option to upload and edit PDF files, it also offers a large library of legal and other business forms you can fill in online and download as a PDF file or Word document. 

I found FormSwift's offerings to be excellent and well worth a look if you need basic business documents such as 1099s, lease agreements and business meeting minutes.

All of these forms can be filled out online and downloaded once you've added the pertinent information. Or you can download blank versions of the documents and enter information locally on your computer.

For PDF editing, the process is simple. Drag a file to your browser — there's a 10MB max size — then use FormSwift's tools to add new text and images; highlight, redact or erase existing text; and sign documents.

FormSwift's text tools are limited. You have four fonts to choose from, but you can resize those fonts to almost any level you want, and you can also make changes to text colors and styles. You can add a new text field to your document, enter new text and adjust the text, placing it anywhere you want on the document. 

But there is no way to make changes to existing text, other than by redacting it. All the other tools work as expected, including a signature tool that lets you sign a document using the keyboard, your mouse or an uploaded image.

5. Smallpdf

Smallpdf's free online PDF editing offering is super-basic, only making it possible to add minor changes to documents. 

But you may find Smallpdf's other free features more compelling. These include tools for converting PDF files to Word, Excel, PowerPoint and JPEG. You can also convert each of those file types to PDF. 

Basic as it may be, Smallpdf can add pages to or compress existing PDF documents. Additionally, there are tools for adding signatures to documents that are similar to those available with Apple's Preview application on a Mac. 

All of this is available with no file-size limitations, but Smallpdf lets you process only two documents per day. If you want to do more, you'll have to upgrade to the Pro plan, which gives you Smallpdf desktop applications as well as unlimited processing.

As with all online PDF editors, you begin using Smallpdf by dragging the file you want to work with directly to your browser window. 

For editing PDFs, you have four options to work with: Add Text, Add Image, Add Shape and Draw. You'll note that there are no options to add notes or comments, and no way to highlight existing text. If you need to add annotations or otherwise mark up a PDF document, you should look elsewhere.

Even if the four options offered seem to be enough for you, you'll still feel constrained within each of those tools. Add text, and you have only five size options and no font choices (although you can select serif, sans serif and monotype styles for your single font choice). You're also limited to seven font colors.

While Smallpdf may lack anything beyond the basics for editing PDF files, it's much more appealing for adding electronic signatures, converting or compressing files and merging documents. 

How to choose the best free PDF editor for you

Picking the best free PDF editor is a lot like picking a paid version of a document editor — identify exactly what you want to do with a PDF file and go for the program that offers the features that will let you get that done. 

This can be as simple as deciding whether you need a PDF editor that handles document creation and design or whether you just want something that can leave comments and suggestions on a digital file.

Because this is free software, you should pay attention to any limitations imposed on the free tier. Are there restrictions on the size of the documents you can edit or are certain tools locked behind a paywall? If the answer to the latter question is yes, figure out whether it's worth it just to pay up for that particular feature.

If you're doing your PDF editing from a computer, check to see if you've got built-in software that can handle the job. Mac users, for example, might not realize how good Preview is at annotating documents and adding signatures to PDFs. You can save a lot of time searching for the best free PDF editor if it's already there right under your nose.

How we test free PDF editors

In testing free PDF editors, we use the same process as when we test paid versions, though we make note of the limitations that can come with free software. We consider both general PDF editors as well as applications that are specifically designed for annotations.

When looking at free PDF editors, I use a few different types of documents that comply with file-size limitations. These include text-heavy files, documents with a mix of formatted images and text, and simple documents with text and images inserted into the document in a linear fashion. 

While free apps don't often include features like text recognition, I tested that feature when it was available. I also tried making changes to text, replacing and adding images and adding annotations with each product.

I was made aware of PDF Expert recently before the update to version 7, and took a while to decide to make use of it, especially the pro tools, since my needs are those of a college student.

I'm very glad I made the choice to acquire the app and its pro features however. Its the only app that actually lets to modify and work with or create pdf documents with all their features (like hyperlinks - which was my key interest for note taking). The app has a simple and hands on interface and works very well for me. My key uses for it are for organizing information ive collected from other sources and class notes, hyperlinking between my notes to improve my studies and learning, as well as, when possible with the pdfs I use, edit the pdf file itself to select elements to keep. While screenshots are wonderful and useful, and incorporating them into note apps are easy and useful, when working with pdfs, being able to use the image quality and format of the pdf books i own allows me to work with the content as is, rather than an image of it, which really appeals to me.

I had a few issues with my acquisition with regards to its update to version 7, and through this learned how attentive and thoughtful Readdle is to their user base, including new users. They made me feel like they really wanted me to make the best use of their software and feel like it should have a place in my workflow. I'm grateful to the quick responses and attention to my needs and uses.

Indispensable App & Superior Customer Service!

For over 6 years I’ve been using this app & it has been a fantastic experience. There was a learning curve in the beginning but after that I’ve had nothing but positive experiences. Originally I bought PDF Expert to study & archive periodicals but it has become an integral part of my iPad life: keeping all of my scanned bits of paper & recipes organized, filling out online forms, even doing creative projects. And talk about customer service! If only all companies had their finesse! I’ve had to contact them 3 or 4 times with questions & not only do they write back promptly but the tone of the response is thoughtful & friendly. And I don’t know if it was just a coincidence but early on there was only a deep purple highlighter so dark to be almost unusable so I submitted a request for lilac. On the next update lilac was there! Now, of course, there are plenty of color options. Another time I wrote them because I couldn’t figure out how to do something & they wrote me back as if they had nothing better to do than help me. So impressed. PDF files are not fixed in stone. The best PDF editors let you open up almost any Portable Document File so that you can edit, alter, annotate, add to or subtract from it.

There are lots of PDF editors out there, free and paid. But which one is the best for your needs?

PDF files were developed in the early days of desktop publishing — the early 1990s — to capture the high-quality design and layouts of physically printed pages, such as you'd find in magazines and newspapers. 

Yet while they're presented to you as finished documents, PDF files are not in fact unchangeable. The best PDF editors recognize text in scanned documents, let you edit text and images, and mark up files and make annotations so that someone else can update the original file.

Need a PDF editor that can handle all that? We've tested more than a half-dozen different options and have produced a list of the best PDF editors for altering text, changing images and annotating in documents. Here's what we've found.

What are the best PDF editors?

If you need to edit documents, the best PDF editor — at least on the Mac — is SmileOnMyMac's PDFpenPro 11,  thanks to its host of features and outstanding capabilities in optical character recognition (OCR). 

The app also lets you create PDFs, forms, and tables of contents if you need creation tools on top of editing and annotation capabilities.

That's all great if you've got a Mac, but what if you don't? Windows users (or Mac users considering an alternative) should turn to Adobe Acrobat Pro DC, which also boasts an impressive tool set. We also like Acrobat Pro's OCR capabilities, including how easy it is to edit scanned text. 

If you prefer free software, give PDF Candy a try. Its text-editing tools are a bit limited, but it excels at converting and creating files. In our ranking of the best free PDF editors, PDF Candy checks in at No. 1.

If you just want to annotate documents and have a Mac, then you don't need to stray any further than the Preview app already built into macOS. Apple's Preview is easy to operate and it's free. 

So is PDFescape (for files up to 100 pages), and since this browser-based tool works with everything from Chrome to Firefox, it's the best PDF annotation tool you can use for free.

In addition to those recommendations, we've also tested PDF Expert, PDFelement Pro and Sejda PDF Desktop Pro. Each app has its strong points, but ultimately there are too many quirks for those programs to rank highly on our list of the best PDF editors.

PDFpenPro is a macOS-only PDF editor that's been available for many years. It's also available in a less expensive version with fewer editing options. (That version, PDFpen, is available for iOS devices as well as Macs.)

PDFpenPro is a standout for Mac users thanks to its solid features, not the least of which is an excellent OCR engine. With full PDF-document editing, you can make changes to text and replace images in PDF documents. Additionally, you can create PDFs from scratch, create or edit forms, and create tables of contents for your PDF documents.

The application's OCR tools are rock-solid. When you open an existing PDF file in PDFpenPro, the application automatically detects whether the document you're working with is a scanned image or already contains selectable text. If it's the former, the application asks whether you want it to recognize the text on the page. 

Even with large documents topping 400 pages, PDFpenPro handled text recognition seamlessly in a matter of minutes, making the text searchable and editable. That said, editing recognized text is not as easy as editing text in a non-scanned document.

2. Acrobat Pro DC

You'd expect Adobe Acrobat Pro DC to be great because it comes from Adobe, the birthplace of the portable document format. To some extent, this full-service PDF-editing application meets that expectation.

Acrobat Pro DC offers a complete set of PDF-editing tools, and it even lets you edit scanned documents. Acrobat DC's OCR engine can convert scanned documents to text, which you can then search through and change. 

But Acrobat doesn't offer to convert an entire document the moment you open it. Instead, the app waits for you to begin using the Pro DC's edit tools, recognizing and converting the pages as you select them for editing. Changing text in an OCR'd document was simple and the results looked great.

It's also easy to edit images and text in documents you haven't scanned. I was able to make changes to everything with zero issues.

What I don't like about Acrobat Pro DC is the interface. It feels like a half-realized demo of what the app could be. Editing tools surround your document, and the UI feels disorganized, offering few options for customization. 

Because it's designed to work on both Macs and PCs, Acrobat Pro DC looks like it belongs in neither environment. This doesn't make this program bad at what it's supposed to do; it just makes you feel like you're working outside your chosen OS.

3. PDF Candy

Best free PDF editor

Our new pick for the best free PDF editor is PDF Candy, because it offers something many free options do not — an OCR feature for scanning text. You can't edit OCR'd text in this web-based PDF editor, but you are able to upload PDF files and extract text and create a text document, RTF file, or Word document in both .doc and .docx formats.

You can choose from 44 tools to create or convert PDF files. It's also easy to rearrange pages within a document, add watermarks, protect PDF files with passcodes, edit metadata within a PDF file, split or add pages to documents, and extract images. Actual text editing is pretty limited, the trade-off you make to enjoy a fairly feature-rich free PDF editor.

Once you've made your edits in PDF Candy, you can download the edited document or upload a new document to work on. PDF Candy keeps all of your documents in a queue so you can download them all at once after you've finished making changes to them.

4. PDFescape

PDFescape is a basic, web-based PDF-editing and -annotation program you can use for free to work on PDF documents that are smaller than either 10MB or 100 pages, whichever is greater. (PDFescape used to limit you to 50 pages, so the higher limit is a welcome change.) If you need to edit larger files, you can upgrade to a premium account for $36 a year. There's also an "ultimate" plan for $72 per year.

Accessible through any modern web browser, PDFescape offers no OCR capabilities like PDF Candy does. But PDFescape's annotation tools are easy to use. You'll find a pretty solid set of standard annotation tools that can easily add, highlight and strike through text; insert notes; and otherwise mark up the pages of your PDF file. Using the web app's insert tools, you can also add new images and text to a document, white-out text, and add web links and form fields.

PDFescape does have some major limitations in adding new text. Because there are no OCR capabilities, you can't make changes to existing text; you're limited to adding new text to an existing document. Additionally, the app has very limited font options, as it doesn't use any of your computer's fonts. So you're limited to Arial, Courier New, Times New Roman, Verdana and a Signature font for signing documents.

Apple's Preview app is built-in to the macOS and offers a minimalist but valuable set of tools for marking up any PDF file. You won't find full-on PDF editing here. But if you need a basic set of tools for highlighting or redacting text, making notes, or adding comments to a document, you won't likely need much more than what's already available on your Mac.

Preview's markup tools are hidden when you first open a PDF document. To see them, you'll have to look for the small pencil icon that appears near the Spotlight search bar at the top of your PDF document's toolbar. Clicking this reveals a small set of tools you can use to select text and add objects, text or notes to your document.

The app's standout feature is a signature tool you can use to store a signature you create using your trackpad or scan using your Mac's iSight camera. You can then easily add that signature to a document by clicking Preview's Signature tool. Simple and easy to use once you set it up, Preview's signing feature will prove its usefulness every time a digital document requires your John Hancock.

You can access all of Preview's editing tools without opening Preview, as long as you're running macOS 10.14 Mojave or later. Just use QuickLook to view a PDF, then turn to the Markup button in that mode.

Readdle's macOS-only PDF Expert is a popular PDF-editing tool that allows you to make changes to text in existing PDF documents, including by removing and replacing images, updating text, and adding text of your own. PDF Expert lacks OCR capabilities, so if you want to edit text in scanned documents, you'll need to look beyond this program.

Of all the apps I tested, PDF Expert has the cleanest interface and therefore was the most pleasant to use. Two tabs appear at the top of the screen: Annotate and Edit. Clicking one of them gives you an appropriate selection of tools to perform either annotation or editing tasks.

PDF Expert's editing tools are flawless. Click text in your PDF, and tools for editing text will slide out so you can make changes. Select an image, and tools for changing the image appear. You can move selected text anywhere on the page you want or remove it altogether.

PDF Expert struggles with large documents; otherwise, this would have been my top pick for both macOS and Windows. But every time I attempted to open my nearly 450-page test file, PDF Expert hung. Until this program behaves more dependably, look elsewhere if you tend to work with larger documents.

7. PDFelement Pro

Wondershare's PDFelement Pro is a full-featured PDF editor with an OCR engine for recognizing scanned text and a standard set of tools. With those, you can fill in forms, annotate documents, create and add signatures, and edit images within a document.

PDFelement had no problem opening anything I threw at it, including scanned documents, large files and image-heavy PDFs. Once documents are open, PDFelement Pro offers a fairly simple interface, with a set of tools on the left side of your document that are easy to figure out. Just select a tool, and you can go to work making changes to the file.

Editing images, adding signatures and using annotations in the application all worked as planned, but I did experience some odd behaviors when I was editing or adding text using PDFelement Pro. In particular, when I was editing existing text in a document, the application wanted to make the text bold and would not allow me to change the content back to regular text. Sejda is a web-based PDF-editing application that works on any OS that has a modern web browser. A desktop version converts that web interface into something that runs on your computer. 

You can use a free version of Sejda, but it limits the number of daily tasks you can perform and the size of the documents you can access. 

To get the most out of the program, you can buy an annual license for both the web and desktop versions for $63. A perpetual license for the desktop version is a one-time payment of $126, but it doesn't give you access to future updates or the web version. You can also buy a weekly pass for both versions for $8 if you've got a one-time project that requires Sejda.

Sejda has no OCR engine, so you can't use this app to edit PDF files created from scanned documents. You can edit only PDF files that already have selectable text.

To edit your PDF file, you upload it to the Sejda website and then use the toolbar at the top of the page to choose your tools. You'll find tools for editing text, adding links, adding form fields and images, and signing or annotating your document. All of Sejda's tools are rudimentary at best. 

The app breaks every line of text in your document into a single text entry, so you can't edit entire paragraphs of text. When you do edit existing text, remnants of the previous text often get left behind in the document. Sejda will let you add new images to a document, but you can't use the app to edit or remove existing images.

Sejda isn't a great app, but it works in a pinch when you need to make a quick change to an existing PDF document and you have no other tools at hand.

How to choose the best PDF editor for you

The first question you should ask yourself is what you need a PDF editor for. If it's just to mark up documents and add digital signatures, PDF annotation software will better serve your needs. 

Because there are several perfectly fine PDF annotation programs available for free, you can save yourself some money. (As we mentioned, Mac users can save even more time since the Preview app on their computers includes markup and signature tools.)

If you're in the market for a full-fledged PDF editor — one that lets you manipulate text and create documents — consider what kind of features you'll need for PDF editing. Applications with good OCR capabilities are likely to cost more; if you don't need OCR, though, it's possible to make do with a free PDF editor.

While PDF editors are great for introducing changes or notes to documents, they're not necessary if you simply want to read a PDF. For that, we've got a list of the best PDF readers you can download.

How we test PDF editors

We look at both PDF editors and PDF-annotation applications. Every PDF editor can also annotate documents, but dedicated PDF-annotation tools aren't designed to make changes to any of the original context in a PDF document.

While testing each of these applications, I used a few different types of documents, including large, text-heavy files; documents with a mix of formatted images and text; and simple documents with text and images inserted into the document in a linear fashion. I tested features like text recognition (when that was supported), and I tried making changes to text, replacing and adding images, and adding annotations.

You may want to know the date that a user completes a form. You can insert a text field in your PDF form that will automatically insert the current date. This field uses a simple JavaScript at the page level. Adding an automatic date field is a two-step process: First you must add the Date field. Then, you must add the JavaScript to the Page Properties.

Inserting the Date Field

The date will appear as part of a text field.

  1. Open the PDF file that you will use the form for.

  2. From the Forms menu, select Add or Edit Fields...

    HINT: The cursor changes to a cross hairs. The cross hairs allow you to align the field with the ruler, text, or another field.

  4. Position the cursor where you want the text field to begin.

  5. Click and drag the mouse until the text field reaches the desired size.

  6. Release the mouse button.
    The Field Name entry box appears.

  7. In the Field Name text box, type a name for the date field.
    EXAMPLE: Type Today.
    NOTE: The name that you assign will be used in the Javascript and must match.

  8. Click Show All Properties.
    The Text Field Properties dialog box appears.

  9. On the General tab, in the Common Properties section, select Read Only.
    NOTES:
    An option is selected when a check appears in the box next to it.
    This is necessary for calculated fields such as a date.

  10. On the Format tab
    1. From the Select format category pull-down list, select Date.
    2. From the Date Options scroll box, select a date format option.
      NOTE: This representation of the date format will be used when adding the JavaScript. An example of the date format is shown below the list.

  11. Click Close.
    The date field is inserted.

Adding the JavaScript

The javascript is applied to the page. Therefore, you must be out of Form Editing mode.

  1. If you are not out of Form Editing mode, click Close Form Editing. close form editing

  2. From the Navigation pane, click Pages. pages
    NOTES:
    The Pages pane opens.
    This action toggles between hiding and displaying the Pages pane.

  3. Right click the page thumbnail of your form that contains the Date field » select Page Properties...
    The Page Properties dialog box appears.

  4. Select the Actions tab.

  5. In the Add an Action section, from the Select Trigger pull-down list, select Page Open.

  6. From the Select Action pull-down list, select Run a JavaScript.

  7. Click Add...
    The JavaScript Editor dialog box appears.

    NOTES:
    Improper spacing in the text may affect results.
    The field reference must match the name you assigned to the text box in step 7 of Inserting the Date Field.

    The JavaScript is added.

  11. From the file menu » select Save As...
    The Save As dialog box appears.

  12. Using the Save in pull-down list, select a save location.

  13. In the File name text box, type the file name.

  14. Click Save.
    The PDF is saved with the JavaScript programmed into it.
